Over 15 years of running corporate events, conferences, and hosted gatherings, I've seen every version of the guest check-in process go wrong. And right. And somewhere in between.

I want to explain, from hard experience, why it almost always causes more problems than it solves — and what I've found actually works reliably when 300 guests are walking through your door in a 45-minute window and your reputation is on the line.

The Promise of QR Code Check-In

The pitch is compelling. Guests register online, receive a unique QR code by email, show up at your event, scan the code, and walk straight through. No queues. No name-searching. No human error. Just a clean, fast, contactless check-in experience.

It sounds like exactly what a modern event should look like.

The problem is that it only works under a very specific set of conditions — conditions that almost never all exist simultaneously at a real event.

What Actually Happens on Event Day

Let me walk you through a scenario I've seen play out more times than I care to count.

Your conference starts at 9am. Guests are due to arrive from 8am. Your team arrives at 7am to set up. You have QR code scanners and a well-organised registration desk.

8:00am. The first guests arrive. Everything works beautifully. Codes scan, names appear, badges print. You breathe a sigh of relief.

8:15am. A guest arrives and can't find the email with their QR code. Their phone battery is at 4%. They ask if you can look them up by name. A small queue starts forming.

8:25am. Three guests arrive simultaneously. One has the QR code on a crumpled printout the scanner struggles to read. One has their email open but the screen brightness is low. One has a QR code screenshot buried in 847 photos. Your operator is now managing three partial check-ins at once.

8:35am. The venue WiFi — which you tested yesterday — is now struggling under the load of 60 guests who've all connected their phones. Your system needs internet connectivity to validate QR codes. It slows, then times out.

8:45am. You have a queue of 40 people. Some have been waiting 15 minutes. Your client is watching from across the room.

This isn't a failure of planning. This is QR code check-in working exactly as it was designed — and failing because the real world doesn't cooperate with controlled demos.

The Six Reasons QR Codes Fail at Events

1. Guests don't have their QR codes ready

Event planners send the QR code email days or weeks before the event. By the time the event arrives, a significant proportion of guests have deleted the email, can't find it, or simply didn't realise they needed to bring anything specific.

The more senior the guest, the more likely this is. A C-suite executive arriving at your conference has had 3,000 emails since you sent them their QR code. They're not thinking about it.

2. Phone batteries and screen brightness

A QR code on a dim screen is difficult to scan reliably. At 8am, a guest who's been commuting and replying to emails may have a phone at 20% battery with automatic low-power mode reducing screen brightness. This slows each scan. At scale, those extra seconds compound into meaningful queue times.

3. WiFi dependency at the worst possible moment

The moment your registration desk needs reliable internet most is exactly the moment it's least likely to have it — when every guest is arriving simultaneously and connecting their own devices to the venue network. Many QR code systems validate codes against a live database. If that connection degrades, your entire check-in system fails.

4. The equipment dependency

QR code check-in typically requires dedicated scanning hardware — handheld scanners or tablets with a scanning app. This is equipment you need to source, test, transport, set up, and manage on the day. If a scanner stops working or the app crashes, you have a hardware problem at your registration desk at the worst possible time.

5. It handles exceptions badly

Every event has exceptions. People who weren't on the original list but were added the morning of the event. A colleague attending in place of the original invitee — who has no QR code, no confirmation email, and no idea they were supposed to bring anything — joining the queue and adding to the backlog behind them. Name changes. Corporate guests who registered under a company name.

QR code systems are binary — the code either matches a record or it doesn't. Managing exceptions requires workarounds that most systems don't handle gracefully, and that your staff has probably never rehearsed.

6. Conferences aren't ticketed events — and the difference matters

This is the distinction that gets missed most often.

QR codes genuinely work well for ticketed events. When someone buys a ticket to a stadium, a concert, or a sports match, they know what they're in for. They purchased access to something. They expect to prove that purchase at the door. They've thought about their ticket because they understand it's their entry credential.

Conference guests are an entirely different proposition.

Your guests are not customers proving a purchase. They are VIPs, business associates, potential clients, colleagues, and senior professionals who have been personally invited or have registered through their company. They are arriving with a completely different expectation: that you are expecting them. That their name is on a list. That someone will welcome them, confirm who they are, and hand them a badge.

A senior executive walking into your conference — distracted, on the phone, coming straight from another meeting — is not thinking about a QR code. They're expecting to say their name and walk in. Asking them to stop, find an email from three weeks ago, open it, navigate to a QR code, adjust their screen brightness, and present it to a scanner is asking them to do work they didn't expect and don't feel they should have to do.

That friction shapes the first impression of your event. And first impressions at a professional conference matter enormously.

What I Use Instead

After watching QR code systems fail in enough different ways, I arrived at a check-in process that I've now refined over hundreds of events:

Name search. That's it. A guest walks up, the operator types two or three letters of their name, and the list filters instantly. Select, verify, print. Under 30 seconds every time.

No QR codes. No scanning equipment. No phone batteries. No WiFi dependency — the whole thing works offline. No fumbling.

The guest just says their name.

This sounds almost too simple, and that's exactly the point. The best event technology disappears into the background and lets the human interaction happen naturally.

The Offline Capability Changes Everything

The reason name-search check-in works reliably across so many different venue situations is that the system I use works entirely offline. All guest data is loaded onto the device before the event. The search, the check-in, the print job — none of it requires an internet connection.

If the venue WiFi goes down, nothing changes. This isn't a nice-to-have feature. It's a non-negotiable requirement for any event check-in system.

Why Event Platforms Keep Selling QR Codes Anyway

QR codes are technically elegant. They work beautifully in the controlled conditions of a product demo or a small, tech-savvy event where guests have been thoroughly briefed. They also look impressive in sales materials.

And frankly, most event technology is built by people who are excellent at software and have limited experience of standing at a real registration desk under real pressure. They design for the idealised use case, not for the actual conditions of event day.

The honest evaluation test: What happens when a guest doesn't have their QR code? What happens if the internet goes down? What happens when 50 guests arrive at the same time? If the answers involve workarounds, manual backups, or "hopefully that won't happen" — the system isn't ready for a real event.

The Bottom Line

QR codes are a technology looking for a use case. In a controlled environment with well-briefed guests and reliable connectivity, they work. On the registration desk of a real corporate event with real humans arriving at an unpredictable rate on phones with unpredictable battery levels through a WiFi network under unpredictable load — they introduce more failure points than they remove.

Name search, offline capability, and a well-loaded mono laser printer. That's the combination I've come back to after 15 years and hundreds of events. It's not glamorous. It doesn't photograph well for a product demo. But it works every time, for every guest, regardless of what the venue WiFi is doing.

And at the end of an event day, "it worked every time" is the only metric that matters.
