I want to tell you about a conversation I've had more times than I can count.

It usually happens about a week before an event. An event planner — experienced, organised, genuinely good at their job — mentions that they're planning to print badges onsite on the day. Full-colour onsite badge printing has become something of a default assumption in the events industry. The concept makes intuitive sense — guests arrive, their details are pulled from the system, a personalised full-colour badge is printed right there and then. No pre-printing required. In theory, it's elegant. In practice, it consistently creates the very problems it's supposed to solve.

The Speed Problem

Full-colour card printers print at roughly 100 to 150 cards per hour under ideal conditions. That sounds like plenty until you do the arithmetic.

If you're expecting 300 guests over a 60-minute arrival window, you need to process an average of 5 guests per minute — one every 12 seconds. A full-colour card printer doing 150 cards per hour produces one card every 24 seconds. Under load, real-world throughput is often closer to one card per 30-40 seconds.

I've stood at registration desks where a full-colour printer was the centrepiece of the setup and watched the queue stretch to 40, 50, 60 people. The event started late. The client was mortified. The printer hummed along producing beautiful, full-colour badges that nobody was happy about.

Full-colour card printers don't just print slowly. They're expensive to run. The consumables — colour ribbons, overlaminates, card stock — are proprietary to each printer manufacturer and priced accordingly. A colour ribbon for a mid-range desktop card printer typically produces 250-300 prints and costs anywhere from £30 to £80.

For a 300-person event, you're spending a meaningful amount on consumables alone — money that gets spent whether the printer performs well or not. And because these printers use proprietary consumables, you can't just pick up a replacement ribbon at a local office supplies shop if you run out mid-event.

The Complexity Problem

Full-colour card printers require a specific setup — driver installation, colour profile calibration, template alignment. At 7am on event day, setting up in a hotel conference room that's also being laid out for a breakfast session, with three other things demanding your attention, this becomes a source of stress that compounds everything else.

What I Use Instead — And Why It Works

After enough events where full-colour onsite printing caused problems, I settled on a different approach. It's not complicated. It's not new. But it's consistently reliable in a way that onsite colour printing simply isn't.

Two stages. Pre-printed shells and mono variable printing. The complex part happens in advance. The simple part happens on the day.

Stage 1 — Before the event

Pre-printed card stock

Your badge artwork — logos, branding, colour design — is sent to a professional printer. Card stock arrives pre-printed, cut to size, ready to load into a standard laser printer at the event.

Stage 2 — On the day

Mono variable printing

Guest details — name, company, title — print in black only onto the pre-printed card using a standard mono laser printer. Fast, reliable, negligible cost per page.

The result is a badge that looks completely professional. Guests see the full-colour design and branding. The variable details are crisp and sharp in black. Nobody can tell from looking at it that it was produced in two stages.

The Mirror Print That Solves the Lanyard Problem

Badges on lanyards flip. It's an unavoidable physical reality — a card hanging on a lanyard rotates freely and will spend roughly half its time showing the back rather than the front.

The solution is simple and works beautifully: print the guest details on both sides of the card simultaneously, mirrored left-to-right, so that whichever way the badge faces, the information is readable.

Design your pre-printed card stock so that both the left and right halves of the flat card carry your artwork. When the card is folded vertically and inserted into a clear PVC pouch, you get a double-sided badge where both faces show the guest's details correctly. The guest's name is visible no matter which way the badge turns.

A Note on Pre-Printing for Smaller Events

For events under about 150 guests where attendance is predictable, there's an even simpler option: print all the badges the day before the event.

Load your guest list, run a bulk print job, fold and pouch every badge, and arrange them alphabetically at the registration desk. Guests arrive, give their name, collect their badge, and walk in. Check-in is handled by a simple lookup — no printing on demand required.

This only works when you're confident about your numbers and your list is finalised. But when those conditions exist, it's the fastest and simplest check-in experience possible. Order more card stock than you need — it's the cheapest consumable at your event. Any leftovers can be recycled. Not recommended for events of 200 guests or more.

The Principle Behind All of This

The best event setup is the one that produces the fewest surprises on the day. Full-colour onsite badge printing introduces variables — speed, consumables, calibration, hardware reliability — that create opportunities for things to go wrong at the exact moment you can least afford them.
