It's one of those questions that sounds simple until you're standing in front of a queue of 60 people at 8:50am wondering where you went wrong.

How many registration stations do you actually need?

Ask five event planners and you'll get five different answers. Ask most event technology vendors and they'll give you a formula that sounds precise but falls apart under real event conditions. After 15 years of setting up registration desks for events ranging from 50 to over 1,000 guests, I've worked out a way of thinking about this that I wish someone had explained to me earlier.

Why Getting This Wrong Is Costly

Under-resource your registration desk and you create a queue. A queue at the entrance to your event is one of the most visible failures possible — it's the first thing every guest sees, it affects the mood of the entire room before the event has even started, and it's extremely difficult to recover from once it forms.

Over-resource it and you've spent money on staff and equipment you didn't need. The goal is to get it right. And getting it right requires understanding what actually drives queue formation.

The Variables That Actually Matter

Most simplified station calculators ask you one question: how many guests are you expecting? The problem is that guest count alone doesn't determine how many stations you need. Three other variables matter just as much.

1. Your check-in window

How long do you have to get everyone registered before the event starts? A 500-person conference where guests arrive over two hours has a very different station requirement to a 200-person gala dinner where everyone arrives in a 30-minute window. A tight arrival window is the single biggest driver of queue formation.

2. Your ratio of pre-registered guests to walk-ins

A guest who's already on your list takes roughly 20-35 seconds to check in. A walk-in guest who isn't on your list takes considerably longer — typically 45 seconds to two minutes, since you need to capture their details manually before printing. If you're expecting a significant number of walk-ins, your stations need to absorb that slower transaction time.

3. Whether you're printing badges or just checking in

Check-in only is faster than check-in with badge printing. If you're printing, a mono laser printer adds only a few seconds per guest. A slower colour card printer can add significantly more — and is one of the reasons I recommend against full-colour onsite printing entirely.

The Numbers I've Actually Observed

Rather than a formula, here's what I've found works in practice across different event sizes. These figures assume mono laser badge printing, a reasonably well-managed guest list, and a typical corporate event arrival pattern.

Important: The station count doesn't scale linearly with guest count. Larger events tend to have longer arrival windows, and at higher volumes, queue dynamics actually improve slightly because arrivals spread more naturally. When in doubt, lean toward the higher end — an underutilised station is far less costly than a queue.

The Walk-In Adjustment

If you're expecting a meaningful number of walk-ins — guests not on your pre-uploaded list who need to be manually captured at the desk — add at least one station beyond what the table above suggests. Unlike dedicated walk-in desks that create a separate queue and concentrate the slowdown in one place, it's better to spread walk-ins across all stations so the load is shared evenly. Every operator should know the walk-in flow as well as they know the standard check-in — it's a 30-second process, not a complication, as long as your team has rehearsed it once before guests arrive.

The No-Show Adjustment

Here's the number most event planners don't build into their calculations: the no-show rate. At a typical corporate conference or professional event, somewhere between 5% and 15% of confirmed guests don't show up. This actually works in your favour for station planning — if you're expecting 300 guests but historically see a 10% no-show rate, your realistic throughput is closer to 270.

Plan for your confirmed guest count. Don't over-resource based on a number that won't materialise.

The Multi-Day Event Complication

For events running across multiple days, the station calculation changes depending on how each day works. If day one is full registration and subsequent days are check-in only for returning guests, you can typically run with fewer stations because the transaction is faster and guests are already familiar with the process.

If different guests attend on different days, treat each day as a separate event for station planning purposes.

What Each Station Actually Needs

A station isn't just a headcount — it's a physical setup with specific requirements. Each station needs:

That last point is underrated. A well-organised physical layout can make a two-station setup feel as smooth as a four-station one. A chaotic layout can make four stations feel like two.

The Question Behind the Question

When event planners ask me how many stations they need, they're usually really asking: how do I make sure the registration desk doesn't become a problem?

The station count is one part of the answer. The other parts are the right software (fast, offline-capable, built for name search), the right printing setup (mono laser on pre-printed card stock), trained operators, and a physical setup that guides guests naturally through the process.

Get all of those right and the station count almost takes care of itself. Get one of them wrong and no number of stations will save you.
